Logging Activities

How to record meals, sleep, bathroom visits, learning achievements, and mood.

Staff can log activities from a child's profile. Each activity type has its own form with relevant fields.

How to Log an Activity

Go to Children → click on a child → select the Activity tab.

Click Create Activity

Click the Create Activity button at the top of the activity feed. A logging window opens.

Select the activity type

Choose from the activity type cards: Bathroom Logs, Meal Logs, Sleep Logs, Mood Log, Medication, Notes, Learning Achievement, Rewards, Photo, or Video.

Fill in the details

Complete the form with the relevant information (see activity types below).

Post the activity

Click Post & Close to save the activity and close the window, or Post & Add Another to save it and keep logging more activities. Either way, the activity is added to the child's feed and daily report.

Meals

Record what a child ate and drank during mealtimes.

  • Meal Type — Breakfast, Morning Snack, Lunch, Afternoon Snack, Late Snack, or Dinner
  • Time — When the meal occurred
  • Menu Items — If your center has an active menu, the planned food items for the selected meal type appear as selectable chips. Items are pre-selected ("served as planned") — deselect any that weren't served
  • I Ate — Free-text description of food consumed (use alongside or instead of menu items)
  • I Drank — Choose from Water, Milk, Juice, Hot Chocolate, Chocolate Milk, or Other
  • Quantity — How much they ate (All, Most, Some, or None)
  • Notes — Additional observations (optional)
Allergy alerts: When logging meals for children with allergies, a warning banner appears if any selected menu items contain matching allergens. For example, "Emma has a peanut allergy: Peanut butter crackers contains peanut." This is a safety reminder, not a block — staff can still proceed after reviewing.
If no active menu is configured, meal logging works the same as before — free-text entry with no food item chips. See Menu Management to set up your center's menu.

Sleep

Track nap times and sleep quality.

  • Start Time — When the child fell asleep
  • End Time — When the child woke up
  • Sleep Pattern — How the child slept: Did not sleep, Quiet time, or Slept soundly
  • Notes — Additional observations (optional)

Bathroom

Log bathroom visits and diaper changes.

  • Time — When the visit occurred
  • Type — Diaper Change or Potty
  • Description — Wet, Dry, or BM (Bowel Movement)
  • Notes — Additional observations (optional)

Mood

Record a child's emotional state. Each mood is shown with its own emoji icon.

  • Mood — Select from Happy, Sad, Angry, Anxious, Calm, Curious, Playful, Excited, Tired, Energetic, Sleepy, or Focused
  • Notes — Additional context (optional)

Learning Achievement

Celebrate milestones and learning moments.

  • Skill Area — Select the category: Reading, Writing, Social Skills, Motor Skills, Art, Music, Language, Math, Science, or Physical Education
  • Description — What the child accomplished (required)

Medication

Track medication administered during the day.

  • Medication Name — Name of the medication
  • Dosage — Amount given
  • Time — When the medication was administered
  • Notes — Additional observations (optional)

Rewards

Recognize positive behavior and achievements.

  • Rating — Rate the child's performance with a star rating
  • Reason — Tell us why (the reason for the recognition, required)

Notes

  • Notes — Free-text observations about the child's day

Photo

Share a photo of a moment from the day.

  • Photo — Take a photo with your camera or upload an image file (required)
  • Notes — A caption or description (optional)

Video

Share a short video clip from the day.

  • Video — Record a video or choose a video file (required)
  • Notes — A caption or description (optional)

A progress bar shows the upload status while the video uploads.

Adding Photos and Videos to Any Activity

Most activity types (meals, sleep, bathroom, mood, learning, and more) include an Add Media (Optional) button. Use it to attach photos or videos directly to that activity — for example, a photo of a child's lunch or a video of a learning moment. When a video is attached, a progress bar shows the upload status.

Editing an Activity

To edit a logged activity, click the ... menu on the activity card and select Edit. Once an activity has been edited, an (edited) label appears next to its time in the feed.

Photo and video activities can't be edited after they're posted — delete them and post again if you need to make a change. To remove any activity, open the ... menu and select Delete.

Logging for Multiple Children

From a classroom's Activity tab, staff can log an activity and apply it to multiple children at once. After choosing the activity type, a child selector appears with a checkbox for each child in the classroom (plus a select-all option). Choose the children to include, fill in the details, then click Post & Close (or Post & Add Another to continue logging).

Each selected child receives their own individual activity record — this saves time for group activities like meals or bathroom breaks while keeping each child's daily report private.

Some activity types (Notes, Learning Achievement, Photo, and Video) can instead be shared with the whole classroom as a single post that's visible to all families in that classroom.

Activities logged by staff appear in the child's Daily Report and are visible to parents in the Parent Portal.
